Job Summary:
We are seeking a highly organized and professional Receptionist cum Admin to join our team. The ideal candidate will be the first point of contact for visitors and clients and provide essential administrative support to ensure smooth daily operations. You will need excellent communication skills, multitasking ability, and a proactive approach to office duties.
Key Responsibilities:
- Greet and welcome visitors, ensuring a positive and professional first impression.
- Answer, screen, and forward incoming phone calls promptly and courteously.
- Maintain the reception area, ensuring it is tidy and presentable at all times.
- Manage and coordinate incoming and outgoing mail, courier services, and deliveries.
- Assist with scheduling meetings, managing calendars, and booking conference rooms.
- Maintain office supplies inventory, order supplies as necessary, and ensure office equipment is functioning properly.
- Handle general administrative tasks such as filing, photocopying, and data entry.
- Provide support to other departments, including assisting with travel arrangements, vendor coordination, and event planning.
- Assist in maintaining internal databases and ensuring accurate record-keeping.
- Coordinate the repair and maintenance of office equipment and facilities as needed.
- Prepare and distribute internal communications, memos, and correspondence.
- Assist HR and management with administrative tasks such as employee onboarding, documentation, and updating office policies.
- Perform additional duties as required to ensure efficient office operations.
Qualifications & Skills:
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in MS Office (Word, Excel, Outlook) and office management software.
- Strong organizational skills with an ability to multitask and prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Friendly, approachable, and professional demeanor with a customer-focused attitude.
- Ability to handle sensitive and confidential information with discretion.
- High school diploma or equivalent (additional qualifications in office administration are a plus).
