HR Assistant

Job Summary

HR assistant will be responsible to support human resources and legal functions across the organization, ensuring smooth operations and compliance with applicable laws and company policies. This role involves overseeing talent acquisition, personnel records, payroll processing, employee relations, and legal matters related to labor and company incorporation. The ideal candidate will bring expertise in both HR and legal areas, particularly in a multi-jurisdictional context.

Key Responsibilities

  1. Talent Acquisition and Recruitment:
    • Post job advertisements and collaborate with consultants or executive recruiters to acquire the right talent for the organization.
  2. Employee Records and Attendance Tracking:
    • Prepare and maintain individual personnel files and records, ensuring accurate and up-to-date documentation for employees located in Dubai.
    • Track and manage employee attendance for compliance with company policies.
  3. Payroll and Benefits Management:
    • Prepare and process monthly payrolls for all Dubai-based companies, ensuring accurate and timely compensation.
    • Coordinate with the Accounts department to process medical insurance for staff.
  4. Leave Management:
    • Manage and oversee annual leave applications, ensuring proper tracking and updating of leave records for both managerial and expatriate staff across the Group.
    • Process annual leave salaries and gratuity settlements as required.
  5. Employee Relocations:
    • Facilitate relocations for key personnel within the organization as directed by management, ensuring smooth transitions and adherence to company policies.
  6. Labor Relations and Compliance:
    • Represent the company in labor-related matters with relevant authorities, including issues in Freezone and mainland jurisdictions.
    • Oversee the procurement and renewal of employment and residence visas, as well as manage cancellation procedures per management directives.
  7. Business Licensing and Incorporation:
    • Ensure timely renewal of Dubai business licenses and compliance with relevant legal and administrative requirements.
    • Support company expansions by single-handedly incorporating new entities in various jurisdictions, in line with the organization’s strategic objectives.
  8. Contract and Legal Management:
    • Prepare, review, and manage all contracts and agreements to ensure compliance and protect the organization’s interests.
    • Address legal issues within Dubai, as directed by management, including those related to employment, business operations, and company expansions.
  9. Offshore Entities and Jurisdictional Compliance:
    • Coordinate with consultants across jurisdictions to ensure timely renewal and compliance for offshore entities associated with the company.

Qualifications:

  • Bachelor’s degree in Human Resources, Law, Business Administration, or a related field; Master’s or professional certifications (such as SHRM-CP, CIPD, or legal qualifications) are advantageous.
  • Proven experience in an HR and legal managerial role, preferably within the UAE and/or Freezone contexts.
  • Strong understanding of UAE labor laws, employment visa processing, and licensing requirements.
  • Excellent organizational, interpersonal, and communication skills.
  • Ability to handle confidential information with discretion and integrity.
  • Proficiency in payroll software and MS Office Suite.
